Circular Dress Collaborative Systems and integrations

From paper-based admin to one connected system

How Crintus & Co connected Circular Dress Collaborative's product, sales, commission, payment and expiry workflows in one practical system.

Circular Dress Collaborative is an award-winning sustainable fashion social enterprise in Letterkenny. Its work keeps clothing in circulation while supporting people and the environment.

As the organisation grew, its day-to-day administration became increasingly difficult to manage. Product details, consignor records, sales, commissions and payments were spread across paper records, spreadsheets and separate manual processes.

Keeping everything accurate and up to date took a considerable amount of Sheila’s time. It also made it harder for her to focus on selling, engaging with customers and growing other parts of the social enterprise.

Our approach

Crintus & Co worked closely with Sheila to understand how the shop actually operated, including how items entered the business, how sales were recorded, how commissions were calculated and paid, and what happened when products reached the end of their selling period.

We turned those processes into one connected digital system built around the way Sheila works. Rather than forcing the business into an off-the-shelf workflow, we refined the system with her as it was used in the shop.

What we delivered

The finished system brings the core operation together in one place. It now supports:

  • Product and consignor records
  • Sales across SumUp and other channels
  • Commission calculations and payment tracking
  • Product intake and contract records
  • Weekly sales and payout visibility
  • Automated product expiry and ownership updates
  • Welcome, intake and expiry emails for consignors
  • Cleaner exports and fewer repeated manual steps

Crintus & Co connected Airtable, SumUp, n8n and MailerSend behind a practical interface Sheila could use during the working day.

The product view brings item, consignor, category, price and status information together for day-to-day shop use.

The expiry workflow checks products daily, prepares the right consignor message, sends it and logs the communication automatically.

The system in numbers

As of 12 July 2026, the system manages:

  • 313 consignor records
  • 3,245 product records
  • 1,191 monetary transactions processed between March and 12 July 2026

The outcome

The project moved Circular Dress Collaborative’s operational systems from paper to digital and substantially reduced the time Sheila spent on administration.

She now has one place to manage the information behind the shop, with routine calculations, updates and communications handled consistently. That has given her more time to sell, engage with customers and work on activities that support the growth of the social enterprise.

“The time I have been saved goes beyond measure. I now have time to actually sell and engage in other activities that will boost our social enterprise.”

Sheila Clancy O’Donnell, CEO, Circular Dress Collaborative
